Job Description

The role is responsible for administering and maintaining AECOM’s Corporate Travel and Entertainment (T&E) Card, as well as providing general administrative and data analytical support to the Global Travel team.

  • Process new cardholder applications, issue, and cancel cards, and support the resolution of issues related to spending limits, declines, MCC restrictions, delinquency monitoring, and fraud activity by company requirements.

  • Monitor cardholders by performing data analysis and transactional searches, report repeat violations to the Manager of Internal Reporting; assist with reconciling corporate card accounts and generating required reporting to monitor, track, and report delinquency and spend analytics.

  • Review and assess current purchasing and expensing practices and procedures recommend improvements to facilitate a more efficient and effective process and identify new savings opportunities. Update and manage training materials, policy and procedures, and communications to establish consistency and best practices.

  • Review term and transfer list for potential cancellation of transferred and terminated employees and FTE changes affecting eligibility; assist in processing final expenses and payoffs for terminated and delinquent accounts. Advise and document for management when applications should be denied.

  • Assess current spending practices to ensure compliance with company policies and procedures and generate meaningful reports/action items that can be easily understood and applied to support department goals.

  • Serve as the primary interface between the firm and the card vendors regarding the card program, emerging technology, changes in the program, and any other issues.

  • Respond quickly to traveler issues such as, but not limited to travel travel-related system access and credit card issues. Provide training and guidance to business unit personnel on each of the card’s capabilities/restrictions and system access.

  • Learn the different travel-related systems used within the company and apply system updates and maintenance as requested.

  • Communicate with the travelers and maintain website information to assist them in self-managing their accounts.

  • Practice and ensure that company policies and procedures and state or federal laws are always followed.

  • Escalate and analyze identified issues and concerns to the Team Lead for timely resolution.

  • Maintain the SOP/DTP of current processes and incorporate documentation updates as required.

  • Perform simple but varied tasks in compliance with service-level agreements, processes, policies, and procedures.

  • Assess identified issues and collate documentation to assist in investigating and resolving common and recurring issues.

  • Support selected simple process improvement initiatives to streamline processes.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience preferred.

  • 3-4 years of experience, two (2) years of which should be relevant to corporate card administration or accounting and electronic expensing.

  • Travel co-ordination related experience preferred.

  • Intermediate proficiency in MS Office tools and relevant Databases
