We are recruiting for an experienced Records Coordinator to join our multi disciplinary office in St Albans.
If you are interested in undertaking a Masters in Archives and Records Management then this is a role that could accommodate and support that.
The primary purpose of the role is to oversee the administration of a fit for purpose records management service for all AECOM staff, your role is broken down into the following responsibilities;
To deal with general and detailed enquiries from AECOM staff, Consultants and other professionals
To provide an effective national service in the provision of supporting staff records needs.
To capture all enquiries on the enquiry register and ensure it is accurately updated by all users
Provide a Single Point of Contact for information for all staff with Records Management responsibilities
To consider efficiency savings from records management
Liaise with AECOM support staff to assist with queries over storage invoices or the budget
Liaise with AECOM support staff to track budgetary expenditure and report on discrepancies
To contribute to other projects on all matters affecting records management
To contribute to ongoing historical archive projects
Support regular appraisal by assisting in physical reviews as required
Assist, where appropriate, in the development of an ARMS Database with regards to AECOM legacy records
Where appropriate, working on projects with team members from the ALIS, AECOM Library and Information Services team
Offsite Storage Provision
Manage AECOM’s relationship with offsite providers:
Act as the first point of contact for requests for retrievals from staff, new boxes, collections or supplies
Liaise with storage providers to ensure services requested are received
Ensure that measures in place to prevent unauthorised access to records are maintained.
Line Management Responsibilities
Provide support and mentoring to wider office teams in relation to records management
From time to time, manage temporary records management teams
- To disseminate policy to staff and respond to enquiries with the appropriate information
We are looking for someone with an interest in or demonstrable experience of paid or unpaid work in an Archive or Records Management role. Ideally you will have experience of working in a customer facing/serving/focused role and have a
wareness of current legislative requirements in the records management sector.
Educated to degree level at least and as above, interested in undertaking a Masters in Archives and Records Management.
