Job Description

  • Responsible for activities involved in records management/document control.

  • Able to create, use, and handle Document Numbering System specific to the Engineering, and Construction related documents.

  • Able to identify and deal with the project's internal & external stakeholders from document control and record management point of view.

  • Provides support to proposals with exposure to various contracting methodologies.

  • Supports relationships with other functions relative to Document Controls.

  • Provides support as required to facilitate the preparation of information for progress measurement.

  • Exposure to the Design & Construction Management, and the relationship to Document Controls responsibility.

  • Manage daily tasks as assigned by the Document Control Manager.

  • Ensure that the project QA QC standards are being met.

  • Supports the Project Team in managing existing and project-generated documents and reports. Responsible for ultimate project record, and document handover/turnover.

  • Experienced in documentation systems across a variety of platforms.

  • Uses EDMS to manage the coordination, interface, and interactions with internal disciplines, external teams, and other 3rd parties in reviewing, closing out open comments, and preparing a professional document or drawing package.

  • May be required to produce regular effective action items for the program leadership – weekly and monthly with program/project updates.

  • Using Adobe Creative Suite or similar software to assist the team with developing and packaging various document deliverables including proposals, qualifications, etc.

  • Assist in implementing new and improving Document and Record Management Systems and Document Control Processes.

  • Train internal and external staff about the Project Documentation System on how to use and access the documents.

  • Maintains confidentiality of the Sensitive Documentation and understands the Project Information Dispensation Protocol.

  • Ensures that the end users have the latest revision of the Project Documentation and maintains the document Audit & Change Trail.

Qualifications

  • Bachelor’s degree in Commerce or Business Administration

  • 10+ experience in managing EPC projects in a fast-paced environment, PMC experience is desirable.

  • Strong experience working in ACONEX, Microsoft Office 365 SharePoint, Word, Excel, Outlook, and PowerPoint required.

  • Highly motivated with the ability to function well in a fast-paced environment.

  • Excellent interpersonal, organizational, and communication skills.

  • Strong attention to detail with an ability to deliver accurate documentation and task completion.

  • Hands-on in managing multiple tasks and changing demands, details, and deadlines.

  • Working knowledge of company organizational structures, terminology, policies, and procedures.
