Job Description

Position: Administrative Assistant – Asset Development based in NEOM

KEY ACCOUNTABILITIES & ACTIVITIES

The Administrative Assistant will be responsible for Providing general administrative assistance to the Delivery & Innovation Division for asset development with a specific focus on document control and plan of work coordination functions including but not limited to:

  • Organise, maintain and guarantee the correct filing of deliverables in the Department Sharepoint

  • Support the re-organization and upgrading of Department wide Knowledge Management restructuring

  • Organise, maintain and guarantee the correct naming of deliverables in the Department Sharepoint as well as in the ACONEX System

  • Organise, maintain and guarantee the correct naming of other proponents or sectors deliverables for Stage Gate Approvals or as Collected data in the Department Sharepoint

  • Control and ensure that information circulation follows the established protocol or Project Communication Management prior external circulation or Stage Gate Approval

  • Control that documents are edited as per latest NEOM Corporate standards and templates and use of logo is appropriate

  • Coordinate and manage meetings, workshops and other engagement functions required by the Division

The Administrative Assistant should be skilled in:

  • Project Administrative Assistant

  • Document Controlling

  • AIA / RIBA standards knowledge is a plus

  • NEOM ETSD standards

  • ACONEX, BIMs, SharePoint and similar information management systems

Ability to work with fixed deadlines, leadership, proactively solution oriented, team work capability in multicultural teams, attention to details, ability to work in challenging environments The role will require:

  • Demonstrated 5+ years experience in similar roles, with a focus of quality planning and control, document controlling, knowledge management for engineering – infrastructure - multidisciplinary projects.

  • Experience in the region preferred

  • Strong written and verbal communication & report writing skills

Qualifications

  • Bachelor's in engineering, Management, or Business Administration

  • Quality system certification is a plus.
