Job Description
We are seeking a detail-oriented and organized Document Controller to join our team in Doha, Qatar. As a Document Controller, you will play a crucial role in managing and coordinating the flow of technical documents for our engineering and construction projects. This position requires a high level of efficiency and attention to detail to ensure smooth document management processes.
Establish and maintain a comprehensive library of reference documents, adhering to company quality standards
Coordinate the flow of technical documents between projects, proposal operations, engineering disciplines, and other related support groups both internally and externally
Create and manage computerized indexes for active engineering documents, generating reports as needed by project managers and directors
Prepare transmittals for engineering documents and requisitions, ensuring timely distribution and proper filing
Assist in the preparation of operations manuals and job data books, including developing indexes, assembling binders, and ensuring timely printing and assembly
Arrange document cataloging, packing, and long-term storage or disposal of engineering documents at project closeout
Maintain an established data distribution system and schedule for assigned projects based on client, project, and supplier requirements
Collaborate with project teams to ensure efficient document control processes and adherence to company standards
Assist in office administration duties, including maintaining lists of office furniture and equipment, and monitoring site office workstation equipment
Support the office secretary in various administrative tasks to meet office requirements and demands
Contribute to a cohesive team environment, maintaining excellent serviceability to the entire department
Qualifications
Diploma in any field of study; relevant certifications and training certificates are a plus
Minimum of 5 years of document control experience in engineering and construction projects
Demonstrated proficiency with large-scale Document Control management software (e.g., ACONEX, Prolog)
Strong knowledge of Microsoft Office suite, particularly Excel, Word, and PowerPoint
Experience with document control hardware and software, such as scanners and optical character recognition tools
Excellent oral and written communication skills, with the ability to compose reports and correspondence in English
Familiarity with document management best practices and quality control procedures
Strong attention to detail and high level of accuracy in document handling and data entry
Exceptional organizational skills and ability to manage multiple projects simultaneously
Ability to work under pressure and meet tight deadlines in a fast-paced environment
Proactive and results-oriented approach with a "can-do" attitude
Ability to interface effectively with various stakeholders at different technical levels and educational backgrounds
Knowledge of engineering and construction project documentation processes
Flexibility to adapt to changing project requirements and priorities
