Job Description

  • Reports to Quality Lead

  • Responsible for document control of all Program and Project related documents, with a goal to create efficiency in day-to-day tasks for the OM and PM.

  • Responsible for chasing program team members on document quality, completeness, and timely delivery for recurring reporting and in line with contract requirements.

  • To be an Account Administrator for the document control software tool and a Project Administrator for their designated EPCM contract in the designated Shell Hub.

  • Set up new projects within the Shell Hub.

  • Owner of the Project templates in the software tool and responsible for managing required changes in collaboration with the other administrators in the hub.

  • Owner of the forms in the template and keeping them up to date with required changes and pushing them to project environments.

  • Pro-actively increasing efficiency / continuous improvement on templates and processes, in collaboration with QL, OM and PM.

  • Responsible for setting up and managing the bridging function between project environments.

  • Responsible for correcting/ following up with documents and their naming convention.

  • Responsible for following up on issues that are becoming expired.

  • Responsible for following up on actions in a workflow that are expiring.

  • Project deliverables list owner in the software system.

  • Ensure that all documents are referenced.

  • Control of distribution of documents entering the project.

  • Ensure that updated documents are available for the project team.

  • Dispatch documents for internal review or approval and follow up internal flow.

  • Issue official documents to external stakeholders and track transmissions.

  • Receipt, track and dispatch official return comments.

  • Support to OM in creating status reports for the program team members and client.

  • Attention to detail.

  • Team player, but self-sufficient, positive, and collaborative approach

  • Keen interest in new tech / processes

  • Confidentiality

Minimum Requirements:

  • Bachelor’s degree in engineering/ information technology

  • Proficient with Microsoft Office (Word, Excel, Power point, Teams, Outlook)

  • 3-5 years of experience in a similar area

  • English proficiency

Preferred Qualifications:

  • Prior experience working with an engineering, construction management or related field with project controls or related field.

  • Experience with Autodesk Construction Cloud, SharePoint, is a plus.
