Position

Project Administrator

Job Summary

As a Project Administrator within the Managing Agent Team, you will play a crucial role in supporting the efficient management of operations, maintenance, and project works related to public infrastructure civil, electrical, and landscaping assets. You will maintain accurate project documentation and provide administrative support to ensure project success.

Key Responsibilities

Document Control

  • Establish and maintain a structured document control system for all project-related documents, including drawings, contracts, reports, and correspondence.

  • Ensure the proper version control, filing, and tracking of documents.

Data Entry and Management

  • Input and update project data in electronic document management systems.

  • Create and maintain project files and records in an organised manner.

Communication and Coordination

  • Facilitate communication between project teams, contractors, and stakeholders by distributing project-related documents and information.

  • Coordinate meetings, conferences, and project-related events as needed.

Record Keeping

  • Maintain accurate and up-to-date project logs, including document logs, transmittal logs, and change order logs.

  • Track and archive historical project data for reference and auditing purposes.

Quality Assurance

  • Perform regular document reviews to ensure compliance with established standards and procedures.

  • Assist in the preparation of quality documentation and reports.

Administrative Tasks

  • Provide general administrative support to the project management team, including data entry, file organisation, and office management tasks.

  • Assist in project planning, scheduling, and reporting activities.

  • Help track project progress and update project schedules as needed.

Qualifications

  • Degree qualified, additional education or training in document control or project administration is a plus.

  • 5+ years’ experience as an administrator / document controller

  • Proven experience in document control, project administration, or a related role.

  • Familiarity with document management software and tools.

  • Attention to detail and strong organisational skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent communication and interpersonal skills.

  • Ability to work both independently and collaboratively within a team.

  • Knowledge of construction or infrastructure projects is preferred
