Job Description

Join AECOM's dynamic team as a Document Controller, where you will play a pivotal role in ensuring the seamless management of technical documents, specifications, and drawings. Responsible for maintaining accurate records, issuing documents, and contributing to monthly progress reports, you will be a key player in our commitment to excellence. Collaborate with project teams, support knowledge management initiatives, and actively identify opportunities for improvement.   1. Document Management:

  2. Maintain, track and file all technical documents, including specifications, drawings, vendor drawings, calculation sheets, field revision instructions, engineering revisions instructions, and shop drawings.

  3. Issue correspondences and documents as per the project requirements

  4. Reporting:

  5. Prepare reports, including Registers/logs of Critical/Non-Critical Documents, Drawings, Shop Drawings, RFI, NCR, CAR (Corrective Action Request), etc., for submission in monthly progress reports to the Client.

  6. Generate and maintain the Master Document Register.

  7. Record Keeping and Compliance:

  8. Maintain periodical records and registers as required by various regulations.

  9. Manage the registration/renewal of various licenses.

  10. Correspondence and Communication:

  11. Handle and maintain all types of incoming and outgoing correspondences and transmittals.

  12. Control and ensure that information is distributed based on established protocols and Project Communication Management

  13. Coordinate and manage meetings, workshops, and other engagement functions required by the Project / Business Line.

  14. Administrative Tasks:

  15. Prepare daily, weekly, and monthly reports for maintaining regular records.

  16. Digitize and make copies of drawings and documents based on business needs.

  17. Assure that all completed documents have been signed-off by the appropriate personnel.

  18. Distribute copies of documents to the appropriate personnel.

  19. Coordinate with Project Managers, Business Line Leaders and other Stakeholders on the proper methods of protection for project records, making recommendations on media, rotation, procedures, etc.

Qualifications

  • Bachelor's degree or Diploma also accepted in a relevant field or equivalent work experience.

  • The role be based at the project site office.

  • Proven experience as a Document Controller or in a similar role.

  • Knowledge of document management systems, SharePoint, and ACONEX.

  • Strong attention to detail and organizational skills.

  • Excellent communication and interpersonal abilities.

  • Familiarity with corporate standards and quality assurance procedures

  • As part of AECOM’s commitment to Emiratisation, only UAE Nationals with a family book will be considered for this role.
